1. For applicants who fail to reach the crowdfunding target within the specified time, the amount raised will be retained for the next round of the sports event, usually 5–7 months later. If the applicant decides to give up the quota for the next round before the departure date of the event with funds raised, the amount raised will automatically be refunded to supporters’ accounts within 30 working days after the organizer receives the refund application. Please note that only the amount raised excluding the administrative fees will be refunded; i.e. the application fee and the 5% administrative fee charged by the crowdfunding platform are not refundable.
2. During the crowdfunding period, except in “*special circumstances”, the organizer does not accept requests for early withdrawal. Each early withdrawal application will be handled as an individual case, and the organizer will initiate the process within 30 working days. Please note that only the amount raised excluding the administrative fees will be refunded; i.e. the application fee and the 5% administrative fee charged by the crowdfunding platform are not refundable.
1. Once full payment has been made or the system shows that crowdfunding has been successfully completed, the applicant is deemed to have secured a quota for the sports event and is also considered to have read and agreed to all participation and withdrawal terms. Except in “*special circumstances”, no refunds will be provided.
2. Within the specified dates or in “*special circumstances”, participants may submit an application to the organizer. Upon approval, the quota may be deferred for one year or transferred to another person.

Before the registration deadline
Except in “*special circumstances”, the organizer will retain the participant’s quota for the next round of the event according to the established arrangements (this is not regarded as withdrawal and invalidation). If the applicant is unable to participate in the next round, the retained quota and any fees already paid will automatically be voided.
14 days before the sports event
If a participant cannot take part in the sports event for personal reasons, they may submit a quota‑retention application to the organizing committee at least 14 days before the sports event.
8-14 days before the sports event
If the participant cannot take part in the sports event for personal reasons, they must pay an additional 10% of the entry fee. The sports event quota may then be retained and carried over to the next round of the event, valid for one year, and will not be retained after expiry.
Within 7 days before the sports event
If the participant cannot take part in the sports event for personal reasons, it will be regarded as an automatic forfeiture of participation. The quota will be considered as used, and, except in “*special circumstances”, the relevant fees and support amounts will not be refunded.
During the event
During the event period (the 6‑day itinerary), if a participant withdraws from the sports event for any reason, whether due to physical condition or other personal reasons, the quota will be treated as void and will not be retained. Anyone wishing to participate again in the future must pay the fees anew. The organizer reserves the right to approve any preferential benefits applied for by the applicant and will handle such cases individually.
If any of the following objective and unforeseeable special circumstances occur to the participant, the organizer may handle the case individually:
- Major physical or mental illness, or serious injury
- Only unable to participate in this round
After verification, the organizer will handle it according to the following two situations:
Applicable when:
- Due to a major physical or mental illness or serious injury, the participant is assessed by medical professionals as being permanently unable to participate in the related activities.
(with valid Western medical certificate)
Handling options (choose one of two):
- A 70% refund of the registration fee already paid; or
- Pay 10% of the registration fee as administrative and material cost, and transfer the quota to another eligible participant.
Terms:
- A formal medical certificate personally signed by a registered Western doctor must be provided before the event date.
- The medical certificate must clearly state the conclusion of “unable to participate again”.
- The organizer reserves the right to verify the authenticity of the documents and the final approval right.
Applicable when:
- A major incident occurs within the family.
- Other objective and unforeseeable circumstances.
- The participant’s physical condition before departure makes participation temporarily unsuitable, but it is not a permanent condition.
Handling:
The participant may apply to have the quota retained for the next round of the event, and at the same time:
When joining the next round, only 10% of the original price of the next event needs to be paid as an administrative fee for quota retention. This fee can be paid by bank transfer after the announcement of the next round and before the registration deadline.
Additional notes:
- Any application made on the basis of special circumstances must be submitted with supporting documents before the event date for verification by the organizer.
- This arrangement is intended to balance participants’ actual situations with the overall fairness and feasibility of event operations.
- The organizer will make the final decision based on the actual situation, implementation progress, and resource allocation.

- Communication and logistical support expenses during the event
- Safety support expenses during the event
- Cultural protection management expenses along the route during the event
